Base Pay: 21.5000 To 24.0000 (USD) Hourly

The Administrative Office Assistant is the face of the company at the front desk. Appropriate professional appearance and demeanor are required to welcome guests and staff. Under minimum supervision, the Administrative Office Assistant will manage administrative functions and provide general office support, such as managing the facilities through contact with building management, maintaining office supply levels, maintaining office equipment through contact with office equipment vendors and supporting the travel portal for existing, new, and former employees and consultants, when needed. Also, the Administrative Office Assistant is responsible for ordering and maintaining levels of printed promotional and marketing materials. These items include but are not limited to business cards, golf shirts, pens, and other promotional/marketing materials that maintain morale of staff and give a good impression to customers and potential customers. The successful Administrative Office Assistant is responsible for a variety of complex processes and needs to be professional, flexible, and dependable.

  • High School Diploma with 6 or more years office administration or related administrative support experience; OR Bachelor’s degree in Business, Accounting or related field with 3 years office administration or related administrative support experience.
  • Proficient in the use of office equipment and computers.
  • Intermediate to advanced competency in Microsoft Office software applications (MS Word, Excel, Outlook, PowerPoint and the Internet, etc.)
  • Experience with large documents i.e. Proposals, Manuals and Legal Documents, a plus.
  • Must have solid grammar and punctuation skills, including the ability to compose letters that are grammatically correct and properly formatted.
  • Excellent verbal and written communication and interpersonal skills.
  • Ability to pay strong attention to detail and deadlines/time frames.
  • Ability to troubleshoot and resolve customer problems and processes to make appropriate recommendations and/or solutions.
  • Ability to compile data from records and reports.
  • Demonstrated track record of cooperation, flexibility and customer service.
  • Ability to maintain confidentiality.
  • Ability to work extra hours to meet deadlines, on occasion.
  • U.S. Citizenship is required for this position.
